How to organise a rugby tournament in Malaysia — the honest checklist

Running a rugby tournament in Malaysia doesn't require a big budget or a professional events team. Most successful club tournaments are organized by one or two people who play the sport themselves. What it does require is a clear process — and the right tools.

Step 1: Decide on the format and scale

The most common formats for Malaysian club tournaments are 7s, 10s, and 15s. 7s festivals are the most common — they're fast, spectator-friendly, and easy to schedule across a single day. 10s and 15s tournaments typically run over a full day or a weekend.

For a first tournament, 8–12 teams is a manageable scale. You'll need one or two pitches, a referee coordinator, and a way to publish results. A 12-team 7s festival typically runs 24 group-stage matches plus knockouts — about 30 matches across a full day.

Step 2: Secure the venue

Most Malaysian rugby tournaments are held at university fields, club grounds, or stadium annexes. Contact the ground authority early — popular venues book out weeks in advance, particularly on weekends between August and November.

Confirm: number of pitches available, access for setting up, parking, toilet facilities, and whether the venue has an existing scoreboard or PA system.

Step 3: Recruit referees

Contact your regional Rugby Union branch for accredited referees. For a 12-team 7s tournament, you'll typically need 3–4 referees. Budget around RM100–150 per referee per day, plus transport.

Step 4: Set up your tournament management platform

Step 5: Open for entries and manage team registration

Set a registration deadline — typically two weeks before the event — so you have time to finalize fixtures and communicate the draw to clubs.
